FUELGENIE PRIVACY POLICY

This privacy policy outlines the procedures that Worldline IT Services UK Limited (“ We, Us, Our”) has in place to protect your privacy. fuelGenie is a trading name used by Us for the fuelGenie business account card scheme.

This policy sets out how your personal data is collected and used (i) when you use the fuelGenie Mobile App, (ii) when you apply for and use our business account service, and (iii) when you participate in surveys and prize draws that we occasionally run in relation to fuelGenie.
We are the controller of your data.

We respect your privacy and so all personal data is collected and processed to the highest standard in compliance with current data protection legislation.

FUELGENIE BUSINESS ACCOUNT CARD SERVICE

HOW WE USE YOUR DATA AND OUR LEGAL BASIS

In order to apply for and to operate a fuelGenie business account with us, we will need to collect some personal data about you and about your cardholders. This personal data may include your and your cardholders’ name and contact details and other information that identifies you personally. We may also collect additional information if you provide us with feedback on the service or if you use our help desk.

We process your personal data for the following purposes:

Credit & Affordability: Assessing applications, including performing credit checks, and managing debts (including obtaining insurance in relation to your fuelGenie business account). Legitimate Interests: To ensure responsible lending and protect our business.
Identity & Fraud Prevention: Verifying your identity and preventing money laundering. Legal Obligation & Legitimate Interests: To prevent financial crime and comply with the law.
Service Improvement: Monitoring website traffic, business analysis, and service reviews, obtaining your views and feedback on our services. Legitimate Interests: To improve our services and user experience.
Marketing: Sending communications about our products and services. Legitimate Interests: To advertise our products and services.

If you decline to provide the personal data we ask you for, we may be unable to either enter into a contract with you or to provide some or all of our services to you.

The personal data we process is described in more detail in the sections below. 

Your cardholders are individuals authorised by you to use the service. If you have provided us with cardholder names or other personal information, you confirm that you have obtained their consent to process this data.

If you apply for another business account card scheme that is operated by us, we may use the data collected for the fuelGenie business account to decide if it will accept your application for the other business account card scheme.

RETENTION OF YOUR DATA

Unless stated otherwise below, we will retain your data until your account is closed and for a period of seven years thereafter, as required by law.

DISCLOSURES OF YOUR INFORMATION

In order to process your application for and to operate your fuelGenie business account, we may need to pass on your data to other companies within our group of companies who help us operate the fuelGenie business account card scheme.

Data may also be provided to companies outside our group as follows:

Insurance: Insurers who may provide data to the UK Government for the purposes of participating in the UK Governments trade credit reinsurance scheme 

Finance and Legal: Credit reference agencies , third party legal advisors and debt collection agents 

Operational partners: Printers and suppliers of account cards and welcome packs, payment processors who may take payments from you, and document storage companies who hold records of your account

Feedback: Trustpilot in relation to your participation in any review of our services (see below – Surveys)

FRAUD PREVENTION

We may  share your data with fraud prevention agencies to help prevent fraud and money laundering and to verify your identity.

When we and fraud prevention agencies process your personal data, we do so on the basis that we have a legitimate interest in preventing fraud and money laundering, and to verify identity, in order to protect our business and to comply with laws that apply to us. Such processing is also a contractual requirement of taking fuelGenie services.

We, and fraud prevention agencies, may also enable law enforcement agencies to access and use your personal data to detect, investigate and prevent crime. You may be refused certain services, finance or employment as a result of this.

Fraud prevention agencies can retain your personal data for different periods of time, and if you are considered to pose a fraud or money laundering risk, your data can be held by them for up to six years.

AUTOMATED DECISION MAKING

Our decision regarding your eligibility for a business account card and the credit limit that may be applied from time to time to your account may be determined as a result of automated processing.

Where a decision is made solely by automated means and significantly affects you, you have the right to request a human review, to express your point of view, and to contest the decision.

CREDIT REFERENCE AND AFFORDABILITY CHECKS

To help us assess applications, prevent fraud, and meet our legal and regulatory obligations, we may obtain information about you from credit reference agencies (CRAs).

We obtain this information via Creditsafe, which uses its data partner TransUnion to supply consumer credit and identity data.

MARKETING PREFERENCES
If you have specifically opted in during the application or registration process with us, your personal data may be used to send you marketing communications depending upon the marketing preferences that you opted for.

OTHER WEBSITES
Alternative Scheme Providers

If we are unable to offer you an account with fuelGenie we may be able to refer you to other companies who may be able to help. We will only do this if you consent. If you do consent we will only pass on contact details that you have provided in the referral message. You can withdraw this consent at any time before this referral is processed.

SURVEYS AND FEEDBACK

In order to monitor and improve our services we may contact you via email to invite you to review the services that we have provided to you and to collect your feedback.

Information collected as part of a survey that we conduct may include your name, your email address, your phone number, and your postal address. We will use this information, along with your answers to the survey questions as part of our market research that is used to improve our services.  Any data that we process as part of our survey will be deleted 18 months after the closing date of the survey.

We may also use an external company, Trustpilot A/S (“Trustpilot”), to invite you to review the services and collect feedback from you directly.  This means that we will share your name, email address and any reference number with Trustpilot in order that they can do this for us. If you agree to participate in such reviews, your review may be used in other promotional material and media for our advertising and promotional purposes.

Our website may contain links to other websites which are outside our control and are not covered by this Privacy Policy. If you access other sites using the links provided, the operators of these sites may collect information from you which will be used by them in accordance with their privacy policy, which may differ from ours.

PRIZE DRAWS

You may receive an invitation to enter promotional prize draws or competitions that we run from time to time when you participate in a survey or review of our services.

Data that we will collect

When you enter our prize draws or competitions, we may ask you to provide details of your name, your email address, your phone number, and your postal address, along with any other information required for entry into the prize draw.

How we use your information

We will use this information to operate the prize draw according to the prize draw rules. In the event that you win we may notify you of this via phone or email and we may have the prize delivered to your postal address.

By entering into the prize draw you will have consented to our use of this information on this basis. If you subsequently withdraw your consent your entry to any prize draw will be removed.

As required by the CAP Code (Rule 8.28.5), we must either publish or make available the surname and county of major prize winners. Retention of your data

Any data processed as part of a prize draw will be deleted 18 months from the closing date of the prize draw.

INTERNATIONAL DATA TRANSFERS

Since we operate globally, your data may be transferred to affiliates and third parties outside of the European Economic Area to countries that do not have as strong data protection laws as may be in place in the UK or within the EEA. This is in order that we can provide services to you. In particular email communications that you receive may be provided via a US based supplier.

In any such cases we will ensure that strict contractual protection applies in order to ensure that adequate safeguards are in place.

A cookie is a file that is automatically stored on your computer when you visit our website that allows us to recognise that your computer has visited our website previously.

fuelGenie Business Account card: we use cookies for a number of reasons to help with the application process, to operate the account and to monitor the use of our fuelGenie website. Cookies do not identify you personally.

Access to the fuelGenie mobile application does not set any cookies.

FUELGENIE MOBILE APPLICATION

Data that we collect

If you use our fuelGenie mobile application, we will need to know your location.  The application will ask for your consent before we collect this data.

We do not however collect any other data about you through the fuelGenie mobile app and this application does not collect any data that personally identifies you.

How we use your location data

We use location data to provide the service offered by the fuelGenie mobile application.

fuelGenie Business Account holders

If you are also a fuelGenie business account holder we may hold certain personal data about you as described in this Privacy Policy.  Data that we hold about you as a fuelGenie business account holder cannot be linked with or used to identify you when you use the fuelGenie mobile app. 

YOUR RIGHTS

You may ask us to provide a copy of the personal information that we hold about you by contacting us at https://www.fuelgenie.co.uk/help-and-support/contact-us.

You have the right to ask us to limit how we use your personal data in certain situations. This might apply, for example, if you believe the information we hold about you is inaccurate, or if you have objected to how your data is being used and we are considering your request. When processing is restricted, we can still store your data, but we won’t use it further unless you agree, or unless required for legal reasons. 

If you think any information we have about you is incorrect or incomplete, please email us as soon as possible using the link above.

You are also entitled to request the erasure of your data if you wish to stop using the Services.

You also have the right to receive your personal information in a structured, commonly used, and machine readable format, and to request that we transfer it to another organisation where technically feasible.
